Terms of Service

Last updated: 28 September 2026

These Terms of Service govern your use of HouseholdVault. By creating an account or using the service, you agree to these terms. Please read them carefully. If you do not agree, you should not use HouseholdVault.

Who we are

HouseholdVault is a service that lets you build a private vault for your household's documents, receipts, warranties, assets, service plans and renewals. We provide the platform, storage, email processing and reminders described on our website. If you have questions about these terms, contact us at support@householdvault.co.uk.

The service

HouseholdVault currently includes: a unique household upload email address you can forward receipts and documents to; AI extraction that reads uploaded documents and emails and suggests details such as retailer, product, dates, prices, policy numbers and categories; an Inbox where you review and approve processed emails; a Warranty Centre and Asset Register built from approved documents; Purchase Journey tracking that links related retailer emails about the same order; Service Plans with scheduled service reminders; Renewals & Savings Opportunities that highlight upcoming renewals and price changes; Household Sharing, which lets a household owner invite members to share one vault; and a Household Upload Pass with a QR code for your upload address. Features may change over time, as described in the service availability section below.

Who can use HouseholdVault

You must be at least 18 years old to create a HouseholdVault account. By registering, you confirm that you are 18 or over and that the information you provide is accurate. Household members invited by an owner must also be 18 or over and have their own account.

Your responsibilities

As a HouseholdVault user, you are responsible for how you use the service and for the information you store in it.

You must provide accurate information when registering, keep your password confidential, and be responsible for all activity under your account. You agree to keep your documents and records up to date and to use reminders as a helpful prompt, not a guarantee, that nothing lapses. HouseholdVault is a tool to help you stay organised; it does not replace your own judgement about your important documents.

Household sharing

If you are a household owner, you can invite other people to join your household as members. Members share the same vault, upload email address, documents, assets, warranties, service plans and timeline. As the owner, you are responsible for the people you invite, for managing their access, and for removing members who should no longer have access. Ownership of the household and its data remains with you. If you join a household as a member, you agree that the owner can see and manage everything in the shared vault and can remove you at any time.

AI extraction and automated suggestions

HouseholdVault uses artificial intelligence to read your uploaded documents and emails and to suggest extracted details, categories, reminders, service plans, renewals and purchase journeys. AI can make mistakes: extracted names, dates, prices, policy numbers and classifications may be wrong, incomplete or missed entirely. You are responsible for reviewing and correcting AI suggestions before approving them, and you should not rely on AI extraction as the only record of important information. The Household Assistant answers questions using only the data in your vault, and its answers may also be imperfect.

Renewals and savings information

Renewals & Savings Opportunities highlights upcoming renewals, contract end dates and price changes found in your emails and documents. This information is provided for your convenience and organisation only. It is informational and is not financial, legal or professional advice, and HouseholdVault is not a price comparison or switching service. We do not recommend providers, and any decision to renew, switch or cancel a contract is yours alone. Reminder emails are a convenience and should not be your only way of tracking important deadlines.

Your upload email address and QR Pass

Your household upload email address and QR Pass act like a key to your vault: anything sent to your upload address is processed into your household's Inbox. You are responsible for keeping your upload address and QR Pass safe, for sharing them only with people and retailers you trust, and for telling us if you believe they have been misused. You can regenerate your upload address at any time, which invalidates the old address and any QR codes created from it.

Acceptable use

You may use HouseholdVault only for lawful, personal or household purposes. When using the service you agree that you will not:

  • Store or upload documents you do not have the right to keep, or that belong to someone else without their permission.
  • Use the service to store unlawful, infringing, defamatory or harmful material.
  • Attempt to access another user's account, vault or data, or try to bypass the service's security or access controls.
  • Interfere with the service, overload it, or use it in a way that could damage or disrupt it, including abusing the upload email system.
  • Use the service for any commercial document-storage business or to resell access to the platform.
  • Reverse engineer, decompile or attempt to extract the source code of the service, except as permitted by law.

Data ownership

You own the documents, records and notes you add to your vault. HouseholdVault does not claim ownership of your content. We store and process your data only to provide the service to you. By uploading a file or forwarding an email, you confirm that you have the right to store it and that it does not infringe anyone else's rights.

Data deletion

You can delete individual documents, assets, warranties, service plans and other records at any time, and you can delete your account and all its data whenever you choose from Settings. When a household owner deletes their account, the shared household and its data are removed for all members. Deleted data is removed from our systems in line with the retention periods described in our Privacy Policy. Some anonymised or aggregated statistics that cannot identify you may be kept.

Service availability and beta

HouseholdVault is currently offered as a beta service. We aim to keep it available and working smoothly, but we do not guarantee the service will be uninterrupted, error-free, or available at all times. Features may be added, changed, removed or behave unexpectedly during the beta, and we may carry out maintenance or updates that temporarily affect access. The service is currently free during beta; if we introduce paid plans in future, we will tell you in advance and you can choose whether to continue. The reminders we send are a convenience and should not be your only method of tracking important deadlines; you remain responsible for managing your own renewals, services and expiry dates.

Account suspension and termination

You can delete your account at any time from Settings. We may suspend or terminate your access if you breach these terms, if your activity creates legal or security risks, or if we are required to by law. If we suspend or close your account, we will tell you why where we reasonably can. On termination, your vault data and uploaded files are removed in line with our retention practices. These terms continue to apply to your past use of the service even after your account ends.

Limitation of liability

HouseholdVault is provided on an 'as is' and 'as available' basis. To the fullest extent permitted by law, we are not liable for any indirect, incidental or consequential losses, or for any loss of data, profits or goodwill arising from your use of, or inability to use, the service. This includes losses arising from AI extraction errors, missed or incorrect reminders, or renewal and savings information that turns out to be inaccurate. Our total liability for any claim relating to the service is limited to the amount you have paid us, if any, in the previous twelve months. Nothing in these terms excludes or limits liability that cannot be excluded by law, such as liability for death or personal injury caused by negligence.

Intellectual property

The HouseholdVault name, logo, design, software and platform are owned by us and protected by intellectual property laws. You may not copy, reuse or distribute our branding or platform material without our permission. Your own documents and records remain your property. Any feedback or suggestions you give us about the service may be used by us without restriction, though we will not share any personal data you submit with your feedback.

Changes to these terms

We may update these terms from time to time. When we do, we will change the 'last updated' date at the top and, for significant changes, tell you inside the app or by email. Continuing to use HouseholdVault after a change means you accept the updated terms.
